<p>Backup is different to Disaster Recovery, in that when a disaster happens, you need a prepared plan to recovery and continue your business, but backup deals purely with data loss prevention and recovery. The best backup plan would be that every piece of important data was backed up immediately when it was created, but in the real world this is seldom possible for every type of data/record that you may have, so compromises must be made. Backup doesn&#8217;t usually deal with application settings and configuration, but in small businesses it maybe easier and more convenient to include this.</p>
<p>The first step in the small business backup check-list is to identify your data repositories. Depending on the size of your company and the type of data/records that you have this maybe easy, but consider that as well as documents you may have in your &#8216;My Documents&#8217; folder on your laptop or server, what about your invoices, sales records, inventory or other client/customers records/data. Do you use email, online &#8216;Cloud&#8217; based applications, other databases or is there data on your smart-phone? Ideally data should never be stored on Laptops or smart-phones, but in today&#8217;s fast paced mobile life, invariably it is.</p>
<p>How often does your data change? You possibly don&#8217;t have to backup 100% of all your data every day, but the trade-off is, that the more that you backup, the more secure your data is, but the cost of storing your backups increases.</p>
<p>The type of backup solution you choose to implement depends on how much data you need to backup, how often it changes, what your budget is and if you need to comply with any data retention laws. Backups can be fully automatic, semi-automatic or manual and can include a variety of software and hardware solutions including tape, CD/DVD, <a title="NAS" href="http://www.fire-pepper.com/glossary-term/nas">NAS</a>, servers, On-line (&#8216;Cloud&#8217;) or even USB drives. No matter what solution you choose make sure that your data is encrypted, the backups are stored securely off-site and that the process is monitored to ensure that the backups are actually working.</p>
<p>And don&#8217;t forget as you add new data repositories or stop using one then to revisit your backup plan.</p>

<p>The simplest method</p>

<li>Unfortunately for this method you have to set the URL of each page you want the button to appear on</li>
<li>Choose the style, width, show faces, verb to use, colour scheme, font, etc</li>
<li>Press Get Code and Copy and paste it into your website, where you want it to appear</li>

<p>One of the major problems people seem to be having is that if you are logged into Facebook when trying to do this you may get an error saying that you have to be a registered developer to get this code. By logging out of Facebook and then trying this again, it should work.</p>
<p>For the other <a title="Facebook Like XFBML" href="http://developers.facebook.com/docs/reference/javascript/" rel="nofollow">Facebook Like</a> method you will have to register for a Facebook application ID, and there is more code to integrate into your website. For this it maybe worth speaking to your web developer.</p>

<p>The old way of doing this was to have a toll-free number re-directed to your land-line, but a lot of small businesses don&#8217;t always have someone in the office, but still would like to offer a way to contact them. Nowadays there are lots of Internet Services that can provide a similar service, often for free and with many more features.</p>
<p>Two of the most popular are Google Voice and Skype. With Google Voice, you place a button on your website, that a customer enters their phone number, which then calls your selected phone (or voice-mail) and the customers phone. Once you pick-up you are then connected to your customer. With Skype, you  place a button on your website, that a customer can see if you are available on Skype and will start a Skype call with you when pressed.</p>
<p>The advantage of Google Voice Call Me button is that it still uses standard phones, but you can choose the phone that rings and even set it depending on the time of day. The advantage of Skype Call Me button is that it can show if you are available, i.e. logged into Skype.</p>

<li>Minimize interruption to the normal business operations and minimize the economic impact</li>
<li>Train key personnel with the emergency procedures</li>
</ul>
<p>The most common disruption to business is data loss, which can result  from computer system hardware failures, theft, human error, natural  disasters, theft, malicious corruption, virus attacks, etc. The first  step is to identify what data is important to your business, where it is  stored, how it is accessed and how it is backed up. Your data maybe  stored on a computer, an on-site server or on a Internet Server. In the  case of an Internet Service, ensure you include in your plan, what would  happen if a 3rd party had a disaster or if your Internet connection was  lost. How would you continue to run your business?</p>
<p>Ensure that backups of all your key data is carried out regularly,  stored off-site an available for recovery. Decide who will be  responsible for managing the backups or if you choose to out-source  this, then ensure that you are receiving reports. Test regularly that  your data can be recovered and that your plan is reviewed to ensure that  new data is being managed.</p>
